Position Summary
The Controller is responsible for overseeing the financial operations of Mentor Canada, ensuring accuracy, compliance, and efficiency in all financial processes. Reporting to the Executive Director, this role manages day-to-day accounting, banking, investing, financial reporting, budgeting, and audit preparation, while also maintaining internal controls and financial policies. The Controller plays a key role in supporting leadership with financial insights and ensuring the organization’s financial sustainability.
This is a fully remote, part-time (0.6 FTE) position.
Key Responsibilities
The following outlines the key responsibilities of the Controller:
Financial Management & Accounting
- Oversee all aspects of financial accounting, including general ledger maintenance, journal entries, and reconciliations.
- Manage accounts payable and receivable, ensuring timely and accurate processing.
- Ensure proper coding and allocation of expenses to funding sources and programs.
- Process payroll and ensure compliance with tax remittances, benefits deductions, and employment regulations.
- Prepare all provincial and federal filings including GST reporting as required
- Maintain accurate and up-to-date financial records in accordance with accounting standards.
Financial Reporting & Analysis
- Prepare monthly, quarterly, and annual financial statements for internal and external stakeholders.
- Generate financial reports for leadership, funders, and the Board of Directors, including budget variance analysis and financial forecasts.
- Monitor cash flow, providing regular updates and recommendations for financial sustainability.
- Ensure compliance with financial policies, accounting principles, and non-profit regulations.
Budgeting & Financial Oversight
- Assist in developing and managing the organization’s annual budget in collaboration with leadership.
- Track and analyze budget performance, identifying areas for improvement.
- Support long-term financial planning and sustainability initiatives.
Audit & Compliance
- Coordinate and prepare for annual external audits, ensuring all necessary documentation is available.
- Ensure compliance with CRA regulations, non-profit financial standards, and funding requirements.
- Maintain strong internal controls to safeguard the organization’s financial integrity.
Grant Management & Fund Accounting
- Track and report on grant expenditures, ensuring compliance with funding agreements.
- Assist in preparing financial reports for grant applications and funder requirements.
- Work with program managers to ensure accurate allocation of expenses and fund tracking.
Board & Governance Support
- Prepare and present financial reports for Board and Finance Committee meetings.
- Provide financial insights to support strategic decision-making.
- Ensure financial governance documentation is up to date and in compliance with regulatory
Qualifications
Education
- Post-secondary degree in Accounting, Finance, Business Administration, or a related field.
- CPA designation or significant progress toward a CPA is required.
Skills and Experience
- Minimum of 5 years of progressive experience in financial management and accounting, preferably in a non-profit environment.
- Experience with fund accounting, grant reporting, and non-profit financial regulations.
- Strong knowledge of financial reporting, budgeting, and internal controls.
- Experience with payroll processing and compliance.
- Strong understanding of accounting principles, financial reporting, and budget management.
- High level of accuracy in financial record-keeping and reporting.
- Ability to interpret financial data and provide recommendations for improvements.
- Ability to manage multiple priorities and meet deadlines.
- Experience with accounting software (e.g., QuickBooks, Sage) and Microsoft Excel.
- Strong ability to explain financial information to non-financial stakeholders.
- Ability to take ownership of financial operations and proactively identify areas for improvement.
- Strong integrity and discretion in handling sensitive financial data.
